CRM for Dental Clinics

Eight crowns, two implants, one extraction — a dental quote is not a line, it is a bill of materials. And then two separate trips sit on top of it.

Where it breaks down

Dental tourism looks like other treatments from outside but has two structural differences: the treatment plan is itemised, and many cases need two visits weeks apart. Systems assuming one procedure and one trip break on both.

  • Quotes are built in Word. Every consultant uses a different format, prices drift, and a revision means retyping.
  • No X-ray, just a guess. A figure given without imaging gets revised upward later — the fastest way to lose trust.
  • The gap between visits. While healing, the patient visits a local dentist or changes their mind, and nobody notices because nobody called.
  • The balance goes untracked. The deposit from visit one and the balance from visit two are kept in different places.

The patient journey

  1. First contact

A message from WhatsApp or Instagram; treatment request and date range stored as fields.

  2. Panoramic X-ray

Requested with a template, attached to the record with a tag. The plan follows the image.

  3. Treatment plan

Built line by line from a defined catalogue; revising means changing a row.

  4. Visit 1

Surgery, implant placement, temporaries. Deposit and visit balance recorded.

  5. Interval

Healing follow-up: scheduled contact, photo checks, second appointment confirmation.

  6. Visit 2

Final restorations, bite adjustment, remaining balance and follow-up plan.

What MetoCRM does here

The quote becomes data, not a document. Line items come from a defined service catalogue, which gives both consistent pricing and an answer to "which procedure is actually most profitable?"

Two visits stay on one record. Splitting the case into two records breaks the link between the first deposit and the second balance, and double-counts the patient in reports.

The interval gets programmed. This is where patients are lost. Scheduled contact is not courtesy; it is revenue protection.

Frequently asked questions

If the plan changes, do we rewrite the quote?

No. Because the plan is made of line items, you change the affected row and the quote is issued as a new version. The earlier version stays on record, so what was offered at each stage remains traceable.

How do we track a two-visit case?

One patient record with two coordination cycles. Deposit, interval contacts and remaining balance all sit on the same record, and the patient is not counted twice in reports.

Does it cover laboratory workflows?

MetoCRM manages patient acquisition and coordination, not clinical production. Lab delivery dates can be tracked as operational steps, but the technical workflow belongs in separate systems.
