AI Voice Agent

Some calls must happen but are nobody's priority: unreachable records, appointment reminders, first-contact checks. An AI voice agent makes those calls and writes the outcome back into the CRM.

What it does

A voice agent and a calling number are set up on your account. The agent calls a patient, runs the conversation, and when the call ends the outcome lands in the CRM. Not just "called":

  • The recording itself
  • The full transcript
  • A summary of what happened
  • The other person's sentiment — positive, negative, neutral or unknown

So the call enters the CRM as a readable record rather than an activity tick. Looking at the list in the morning, a consultant reads who was interested and who was annoyed.

Automations can place the call

The agent can be triggered by hand or wired as an automation action: when the trigger fires, the call is placed on its own. The number dialled is either the phone on the triggering record or a fixed number, and a different agent can be chosen for that flow.

In practice: "call records that haven't replied in two days", "remind everyone whose appointment is tomorrow", "call a new lead within five minutes". Since first-response time decides so much in this sector, that last one earns its place alone.

Where to use it, and where not to

Voice AI is good at calls that carry information and need no judgement: verification, reminders, eligibility questions, scheduling a callback. Those calls do not require a human and quietly cost you money when they never happen.

Clinical questions, price negotiation and objection handling belong to a person. A wrong clinical implication costs many times the minutes saved — the agent's job is not to have that conversation but to hand it to the right human.

The healthiest arrangement we see: the agent makes first contact and marks who is interested, and consultants spend their day on warm records only.

Every call lands in reporting

Calls the agent makes appear in the CRM's call reports next to human calls. So "how many people did the AI reach, and how many came back positive" is answered in the report you already use, not in a separate dashboard.

Does the AI actually speak with the patient?

Yes, it holds a spoken conversation on the phone. When it ends, the recording, full transcript, summary and the other person's sentiment are written into the CRM, so what was said can be read afterwards.

Which calls make sense to hand over?

Calls that carry information and need no judgement: clearing unreachable lists, appointment reminders, first-contact verification, scheduling callbacks. Clinical questions and price negotiation should stay with a person.

Can calls be triggered automatically?

Yes. The agent is configured as an automation action, so a trigger places the call on its own. It dials either the phone on the triggering record or a fixed number.

Will the patient know they are talking to an AI?

They can, and they should. Not misleading the person is both the ethical and the reputational choice, so having the agent identify itself is recommended. In healthcare, trust is worth more than the minutes saved.

Are there limits?

Agent and number capacity depend on your plan. How many concurrent lines you need, and which countries you call, is decided together at setup.
