Bulk Messaging

A new campaign, a price update, a holiday greeting — sometimes the same message has to reach hundreds of people. The hard part is not sending it; it is <strong>knowing who received it and who did not</strong>.

How it works

The recipient list comes from the CRM's own filters: status, tag, channel, language. A set like "German-speaking patients who were quoted and never closed" is not built somewhere else — it already exists in the system.

The message is picked from a template. Templates are listed per channel, because official WhatsApp templates and free-text messages follow different rules and the system knows which is usable where.

Dispatch is not fired all at once; the job is queued and progresses in the background. That keeps you inside provider limits and, just as importantly, leaves room to stop it.

The dispatch log: who got it, who didn't

Every bulk send produces a record holding the outcome per recipient. "Did the message go out?" is answered with a list rather than a guess.

Failures are shown separately — wrong number, user blocked, template rejected. That list gets used two ways:

  • Retry as a new job. A fresh send is created from the failures alone; the whole list is not messaged again.
  • Export to CSV. Failed records can be exported for data cleanup — in most companies this list is the only real inventory of broken numbers in the database.

Pause and resume

A running job can be paused and picked up later. You do not have to watch a send launched against the wrong list run to completion.

That is a real brake on the most common bulk-messaging accident. In this sector, a price message reaching the wrong person costs more than the send itself.

The etiquette of bulk messaging

Technically permitted is not the same as advisable. In medical tourism, use it carefully:

  • Official WhatsApp rules apply. Bulk sending happens through approved templates; numbers that break the rules get restricted. Your number's quality is the channel you spent years building.
  • Keep clinical detail out of it. Treatment specifics are personal; bulk messages are for information and invitations.
  • Leave a way out. Messaging an unresponsive list monthly is burning that list yourself.

Frequently asked questions

How do I choose who receives a bulk message?

The recipient list comes from the CRM's own filters — status, tag, channel, language. You select an existing set rather than preparing a list elsewhere.

Can I see the outcome of a send?

Yes. Every bulk send creates a record with the result per recipient, and failures are listed separately, so which messages did not arrive is never a guess.

Can I retry failed messages?

Yes — a new job is created from the failures alone, so the whole list is not re-sent. Failed records can also be exported to CSV for data cleanup.

Can I stop a send once it started?

Yes, a running job can be paused and resumed later. A send launched against the wrong list does not have to run to the end.

Is bulk messaging allowed on official WhatsApp?

It is possible through approved templates and within platform rules; it is not free-text mass sending. Numbers that break the rules get restricted, so do not skip template approval.
