Why WhatsApp sits at the centre
In most medical tourism target markets — the Gulf, Europe, North Africa — WhatsApp is the default channel. Email goes unopened, calls may go unanswered, but a WhatsApp message gets read. That makes WhatsApp CRM integration structural rather than convenient.
The channel's strength becomes an equivalent risk when it is set up carelessly. Commercial conversation run through a personal line is unmeasurable, and one morning the number can simply stop working, taking the entire history with it.
Personal line versus official API
| Dimension | Personal / Business app | Official Business API |
|---|---|---|
| Simultaneous users | Limited by linked devices | Unlimited, role-based |
| CRM integration | Automation, against terms | Official, supported |
| Risk of ban | High | None when rules are followed |
| Bulk notification | None / risky | Approved templates |
| Reporting | None | Delivery, read, response time |
| Green verified badge | No | Possible on application |
For new or low-volume teams WhatsApp Lite is a reasonable interim step; at scale the official API is unavoidable.
The 24-hour rule and templates
Meta's rule is simple: you may send free-form messages for 24 hours after the patient's last message. Once the window closes, only pre-approved template messages are allowed.
That collides directly with long decision cycles — you will want to follow up a week after sending a quote. The answer is to build the template set up front:
- Welcome — first contact and consultant assignment.
- Quote reminder — neutral wording noting the quote is available and questions are welcome.
- Appointment notice — date, time and location as variables.
- Post-operative check-in — recovery follow-up.
Templates are built in the message template module and submitted for Meta approval; the steps are in the documentation.
Setup order
- Meta Business account and business verification (registration and tax documents).
- Choose the number. A number moved to the API cannot be used in the normal app — reserve a dedicated one for operations.
- Connect through the CRM or a business solution provider. On MetoCRM this arrives as a guided flow.
- Submit templates for approval before go-live, so approval waiting time does not stall operations.
- Watch your quality rating. Meta scores the account; as blocks and complaints rise, sending limits fall. Do not send irrelevant bulk messages.
Alongside the other channels
WhatsApp alone is not enough. A typical journey starts in an Instagram DM, moves to WhatsApp for qualification, sees the quote arrive by email as well, and closes on a phone call. Those transitions have to be visible on one continuous patient record — otherwise each channel builds its own version of the truth.
How to unify them is covered in multichannel patient communication.
