CRM for Clinics

Most patients a clinic loses are not lost on price. They are lost to a message nobody answered.

Where it breaks down

In a clinic there is no separate sales department. The same three people answer messages, book appointments and greet the patient at the door. So the need here is not cross-department coordination the way it is in a hospital — it is simpler and more urgent: no enquiry should go unanswered.

What actually happens: a campaign goes live, Instagram DM and WhatsApp fill up at once, and on a busy day some get answered and some disappear. At month end the ad report says 180 messages, the clinic counts 11 patients, and nobody can explain the gap.

A clinic CRM closes that gap: every message becomes a record, every record has an owner, and unanswered conversations show up on a list.

  • Messages live on personal phones. When a consultant takes leave or resigns, the patient history goes with them and the next person restarts the conversation from zero.
  • Unanswered messages are invisible. A message missed on a busy day is flagged nowhere. The lost enquiry is not even noticed as lost.
  • Ad spend cannot be tied to patients. With no view of which campaign produced operated patients, budget is allocated on instinct.
  • Follow-ups and repeat visits are forgotten. A large share of clinic revenue comes from the second and third procedure, but nobody makes the reminder call.

The patient journey

  1. First contact

Instagram DM, WhatsApp or a lead form. Source and campaign are recorded.

  2. Ownership

The conversation is assigned to a consultant, so nobody messages the same patient twice.

  3. Assessment

Photos and history collected; a clinician consultation is opened if needed.

  4. Price and booking

A line-item quote goes out; once accepted, the appointment date is recorded.

  5. Procedure

What was done is written onto the patient card.

  6. Follow-up

Check-up and repeat timing are attached to a reminder.

What MetoCRM does here

One inbox. Instagram DM, WhatsApp, Messenger, Telegram and lead forms arrive on the same screen and land on the same patient card whatever the channel.

No orphan conversations. Every thread has an owner and unanswered ones stay flagged, which makes the lost enquiry visible.

Measurement by campaign. A patient who arrived through a lead form carries the campaign with them, so reports show operated patients rather than message counts.

Reminders. Check-ups, repeat sessions and follow-up calls are attached to dates instead of memory.

The conversation stays with the clinic. Everything runs through corporate accounts, so history survives staff changes.

If your clinic works in a specific field, see the page for that flow: aesthetics, dental, hair transplant, dermatology, ophthalmology, IVF, bariatrics and physiotherapy.

Frequently asked questions

Is a CRM overkill for a three-person clinic?

What decides it is not clinic size but how many people touch the same pool of enquiries. Once more than two people work the same messages, a shared system becomes necessary — otherwise two people answer the same patient, or nobody does.

Can we keep our existing WhatsApp number?

Yes. Both the official WhatsApp Business API and WhatsApp Lite are supported. The official API allows approved template broadcasts, while Lite brings your existing line into the shared inbox as it is.

We have clinic management software — will they clash?

No. Clinic management and charting systems hold the procedure and clinical data; MetoCRM manages acquisition. The handover point is when the enquiry becomes a booking.

How many channels can we connect at once?

Instagram DM, WhatsApp, Facebook Messenger, Telegram, email, web forms and lead forms all work together and merge onto one patient card. Multiple Instagram accounts can be connected too.
