The first reply is usually the whole game

A patient enquiring about surgery abroad is almost never talking to one clinic. They message three or four the same evening, and the clinic that answers first sets the frame for every conversation that follows — including the price comparison.

Notifying the right person, not everyone

Notifications that go to everybody get muted by everybody, and a muted system is worse than none because it creates a false sense of coverage.

The fix is upstream: route work properly with user groups and lead distribution, so a notification reaches the consultant who actually owns the patient. Manager comments notify the responsible salesperson for the same reason. The notifications guide covers the module.

Using them deliberately

Decide what genuinely warrants an interruption — a new lead, a patient reply, a comment naming you — and treat everything else as something to be reviewed rather than pushed.

Pair notifications with reminders for work that is scheduled rather than reactive: the follow-up due on Thursday does not need to interrupt you on Monday.

Measuring response time, not just intending to be fast

Every clinic believes it answers quickly. Very few have measured it, and the ones that do are usually surprised — the average is dragged up by evenings, weekends and the handful of enquiries that landed with a consultant who was already in a video consultation.
