How to run bulk operations

Changing status, transferring to another consultant and adding tags across selected patients — with progress tracking, stopping and undo.

Changing the status of two hundred patients when a campaign ends, handing over forty files while a consultant is on leave, tagging a list collected at a trade fair — all of that is the bulk operations screen's job.

There are three operations and each runs in the background: bulk status change, bulk transfer and bulk tagging. You watch progress live on the Bulk Operations screen.

Step by step

  1. Filter the customer list, tick the patients you want, or choose "select all matching the filter".
  2. Bulk status change: changes the status of the selected patients. A "before" distribution summary is shown first. Side effects — chat notifications, automations, AI and Meta signals — are off by default, and you pick which automations may run.
  3. Bulk transfer: moves the selected patients to another sales person and/or group. Their chats move with them.
  4. Bulk tagging: adds a tag to the selected patients — only where it is missing; existing tags are kept.
  5. Manage the job. A running operation can be handled from the list or the detail panel with Stop, Resume and Cancel.

Tips and common mistakes

  • Tip Every bulk operation is logged and drops a system message into the chats of the patients involved, naming who ran it and marking it as bulk. Those messages raise no instant notification (to avoid thousands at once); an open chat shows them on its next refresh.
  • Careful Undo only applies to records that have not changed since: if a patient's status, owner, group or an individually transferred chat has moved on, that record is skipped and the reason is shown in the list. Side effects such as triggered automations and notifications cannot be undone.
  • Careful Automations that themselves change a status do not appear in the selectable list. Because they re-save the customer, the side effects you switched off would come back at the second step of the chain; run those per patient.
  • Tip Bulk operations are unavailable in the deleted-customers view — the selection boxes are not shown there at all.

Frequently asked questions

The job shows a "stuck" warning. Have I lost data?

No. The warning appears when an operation has processed no new records for five minutes (the background worker may have stopped). The system resumes automatically and never reprocesses completed records; you can also press Resume yourself.

What happens to a job I stop?

It stops where it is within a few seconds. Records already processed stay processed, the rest are untouched. A stopped job raises no "stuck" warning and does not restart itself. A few extra records may still complete, because the chunk already running finishes.

Why is the number on the confirmation screen lower than my selection?

That number is what will actually be processed. If some records fall outside your permission scope, you are warned about them separately.

Can I see bulk operations started by someone else?

Admin and Moderator see and can undo every user's bulk operations; other roles see only their own. There are separate permissions for bulk access, status, transfer, tagging and undo.

What if a patient is already with the target consultant?

That record is skipped as "already at the target value", and no redundant chat message is created.
