How to use the calendar

Calendars

MetoCRM does not have one calendar; under Calendars in the left-hand menu there are four views, each showing a different part of the operation: Treatments, Transfer, Accommodation Checkin and Accommodation CheckOut.

The split is deliberate: on an operation day three different teams work on the same patient — the clinic does the treatment, the transfer company does the pickup, the hotel does the check-in. Putting all of it on one calendar would mean everyone filtering out everyone else's work.

Step by step

  1. Open the view you need under Calendars: Treatments, Transfer, Accommodation Checkin or Accommodation CheckOut.
  2. Pick the location in the Branch selector at the top right. If the user has their own branch, the calendar opens on it.
  3. Filter with the status buttons: All, Reserved, Approved and Completed.
  4. Switch the view with the buttons above: a monthly grid or a weekly list. Move between periods with the arrows and return with today.
  5. Clicking an event takes you to the relevant patient card — no separate search needed to get from the calendar to the file.

Tips and common mistakes

  • Tip The status vocabulary across all four calendars matches the operations lists. A record shown as "Reserved" on the calendar reads the same in the list; the two screens look at the same data from different angles.
  • Careful The calendar only shows records you can see. When an operation is missing from the calendar, it is usually not because it was never planned but because you have no access to that patient — see roles and permissions.
  • Tip Do not try to follow accommodation on a single calendar: check-in and check-out are separate views because that is where the hotel workload actually falls, and the two concern different teams.

Frequently asked questions

Can I create events on the calendar?

The calendar is a viewing screen, not a planning one; it is fed by transfer, accommodation and treatment records. To plan a new transfer, create a transfer record.

Why is there a branch selector?

In clinics with several branches each location runs its own operation. If the user has a branch defined, the calendar opens on it by default.

What is the difference between "Reserved" and "Approved"?

Reserved means the record exists but has not been approved; Approved means it has; Completed means the work is done. The same vocabulary applies in the lists.
