How to set up product categories
Structuring the product catalogue with categories and parent categories, the code field, and category-specific extra order fields.
Where to find it
ProductsProduct Categories
Product categories are the skeleton of the catalogue. Set up well, the right line is seconds away when building a quote; set up badly, the consultant scans the whole list on every quote.
There are four fields: Name, Code, Parent Category and Extra Order Fields.
Step by step
- Name — the category's name. Use the same naming as your customer categories.
- Code — a short code used for matching on the system side.
- Parent Category — nests the category under a heading, giving you a two-level catalogue (Dental › Implant, say).
- Extra Order Fields — additional fields asked at order time for that category, such as graft count or implant brand.
Tips and common mistakes
- Tip Do not go deeper than two levels. Deep category trees slow the consultant down and make reporting unreadable.
- Tip Think about extra order fields alongside product variants: a variant changes the price, an extra field collects information.
- Careful Renaming categories later makes historical reports harder to read. A little more thought at setup is cheaper than the cleanup.
Frequently asked questions
Is a product category the same as a customer category?
No, but they should share names. A product category classifies what you sell, a customer category classifies what the patient wants; matching names join them up in reporting.
Can I delete a category?
Move its products first. Deleting makes past quotes harder to read.
Do extra order fields appear on the quote?
They collect order-specific information. Price differences the patient should see belong in variants.
