How to read reports and lists

What the sales, advertising and lead reports tell you, and why a dashboard total does not match the number of records in your list.

Reports

MetoCRM has three main reports. The sales report covers user performance and which treatments patients choose; you filter it and export it whenever you like. The advertising report shows return by platform, including how much revenue each channel produced. The lead report follows the flow of incoming records.

But the thing to understand when reading any of them is not the numbers themselves — it is which number is filtered for whom.

Step by step

  1. Lists are filtered by your permissions. Customer, chat, quote, transfer and accommodation lists all show only the records you are allowed to see. The rule is the same as patient visibility.
  2. Some general statistics are tenant-wide. Totals on the dashboard for customers, leads and products may count the whole tenant, so a summary figure can differ from what your list shows.
  3. Reports are partly filtered. Some follow your visibility, some run tenant-wide. Confirm what a restricted user would see before granting them a report screen.

Tips and common mistakes

  • Tip "My list shows 12 customers but the dashboard says 340" is normal: the list shows records assigned to you, the dashboard may be showing the whole company.
  • Careful Granting a report screen can indirectly open data. Check whether a report runs tenant-wide before giving a role access to it.
  • Tip The advertising report is only as good as your patient sources and ad codes. A record with an empty source is attributed to no channel at all.

Frequently asked questions

The dashboard total does not match my list.

That is normal. Lists are filtered for you; some dashboard statistics show company-wide totals.

Can I export a report?

Yes, the sales and advertising reports can be exported at any time.

How do I see revenue from advertising?

The advertising report shows revenue by channel. For that number to be right, sources and ad codes have to be recorded properly.

Can a consultant see their own performance?

Report access is granted by role. Before opening a report to a consultant, confirm whether it runs on their own records or company-wide.
