How to set up treatment mail automation
E-mails that go out automatically a set number of days after a treatment: title, treatments, days, type, button and URL fields.
Where to find it
Treatment Mails
The relationship does not end when the treatment does: after a hair transplant the washing instructions are due on day three, the progress photograph at one month, the outcome review at six. Chasing those by hand becomes impossible as the team grows.
Treatment mail automation ties the message to a treatment and a number of days: a patient who had the treatment you selected receives the e-mail the number of days later that you set.
Before you start
- Tenant e-mail sending must be configured — see connecting e-mail.
- The treatments the automation attaches to must exist in the product catalogue.
Step by step
- Title — the subject of the e-mail and the name you will recognise in the panel.
- Treatments — which treatments this automation applies to.
- Days — how many days later it is sent.
- Type — the send type.
- Button Type and Url — put an action button in the e-mail and set where it takes the patient.
Tips and common mistakes
- Tip Choose the number of days from the real recovery timeline, not the marketing calendar. A check-in mail that lands early worries the patient; one that lands late does nothing.
- Careful This automation sends e-mail, not WhatsApp. For patients whose channel is WhatsApp, use a Meto automation.
- Tip Keep the URL short and point it at a page that needs no sign-in — quote and epicrisis PDF links have required sign-in since 1 September 2026.
Frequently asked questions
Which account does the automation send from?
The tenant's configured sending account; patient e-mails go out from the clinic's own address. See connecting e-mail.
Can I set several mails on one treatment?
Yes — build a follow-up series with separate automations at different day values.
What if the patient has no e-mail address?
Nothing can be sent. Make filling in the e-mail field part of your operational standard.
