How to plan a transfer

Recording airport pickups and hotel transfers against a patient: from, to, time, passenger count, type and fee fields.

In medical tourism the first impression is formed before the treatment: if nobody is at the airport, or the car is late, the file is damaged before the patient reaches the clinic door. A transfer record turns that movement into something dated, owned and attached to the patient.

A transfer record has eight fields and all of them get used in practice — particularly Pax and Type, since they decide the vehicle.

Before you start

  • The patient record the transfer attaches to must exist.
  • The transfer company you work with must be defined as a product transfer company.

Step by step

  1. Patient — the record the transfer belongs to.
  2. From and To — origin and destination (airport, hotel, clinic).
  3. Transfer Date Time — write the pickup time, not the flight time; your team's standard decides the gap between them.
  4. Pax — total passengers including companions. This number decides the vehicle.
  5. Type — the transfer type.
  6. Currencies and Paid — the fee and whether it has been collected.
  7. Note — free text for the driver and pickup team: flight number, the patient's language, luggage.

Tips and common mistakes

  • Careful Include companions in Pax. A large share of medical tourism patients travel with a spouse or relative, and sending a single-passenger car is the most common operational error there is.
  • Tip Put the flight number in the Note. When a flight is delayed, the pickup team follows it from one place.
  • Tip A planned transfer appears on the transfer calendar and in the transfer list.

Frequently asked questions

Should I also add the transfer as a quote line?

Two different jobs: the quote line is what the patient pays for, the transfer record is the work to be done. For paid transfers define both — the line from the product catalogue, the operation here.

How do I plan the return transfer?

Create a second transfer record. Keeping outbound and return in one record makes tracking impossible when one of them is cancelled.

Who can see a transfer?

Lists are filtered by your permissions, so seeing a transfer depends on your access to the patient. Transfer company users can be defined to see only their own area.
